Payroll Coordinator/Invoicing

This position is a key role in the payroll and customer invoicing in the Dayton Office.

The individual holding this position is responsible for coordinating the weekly processes of employee payroll and customer invoicing, including:

· Assure timely completion of the weekly payroll process for select groups of Nelson Tree employees as assigned;

· Preparing customer invoicing as scheduled;

· Reviewing the work of assigned Utility Service Administrators (USAs);

· Functioning as liaison with external utility customer and internal Nelson manager as necessary to assure proper Customer billing; and offers training and technical guidance regarding payroll and billing procedures to Service Administrators

Specific Responsibilities:

General Weekly: Administrative Functions

Payroll Processing:

· Verify receipt of all required payroll documents;

· Print, organize, review and distribute field timesheets from assigned customers for entry into the MTE payroll system on Monday each week;

· Verify payroll is processed according to Nelson policy, customer specifications and legal requirements;

· Review per diem payments for accuracy and proper completion of payment request form;

· Assure weekly "unpaid" list has been reviewed and missing hours are submitted for processing as appropriate.

Invoice Processing:

· Assure that timesheets have been processed accurately and timely into TRACS (review timesheet entry, review pay audits, verify proper customer POs and other required coding);

· Prepare customer invoicing according to customer specifications and by required deadline:

- Manually

- Data upload

- Electronic file

· Provide required supplemental reports to customer, field management, Sr management;

· Provide weekly supplement reporting to utility customers as required.

Routine Administrative Functions:

· Review customer contracts and clarify timesheet, invoicing and reporting requirements; Perform TRACS "set-up" to assure accurate customer invoicing:

- Customers

- Contracts

- Projects

· Labor, equipment, chemical and production coding;

· Prepare ad-hoc reports as requested by field and Sr management;

· Submit crew and contract information for set-up in the master billing control system;

· Maintain "electronic payroll timesheets"

· Training of new Utility Service Administrators, to include:

- Basic TRACS functionality;

- Utility specific billing requirements;

- Pay audit and payroll adjustment process;

- Manual invoice creation

- Procedures for mailing weekly GF packages

General Responsibilities:

· Acts as liaison between Nelson and the utility's forestry department to assure timesheets and invoices are prepared accurately for timely billing and payment;

· Provides routine reports to customers as required;

- Budget accruals and tracking;

- Monthly Fuel Billing;

- Billing estimates (Storm costs, man hours, etc)

· Process union dues, pensions and benefit reports on a monthly basis;

· Assist in projects as requested:

- Acts as "user specialist" in IT related testing and program development;

- Process and procedure changes;

General Skills and Qualifications:

All specific responsibilities above will require on-the-job training. If candidate possesses the following characteristics, skills, and strengths, training should progress at a reasonable pace.

· Post-High School education preferred. Additional training in a field of study that strengthens abilities in analytical thinking, research, and detail level transaction work helpful.

· Strong problem-solving skills required.

· Strong verbal and written communication skills required.

· Strong organizational skills with an ability to work independently.

· Strong practical knowledge in the use of Microsoft Excel and Word a must.

· Personal integrity and a strong work ethic required.

· Must be willing to work in excess of 40 hours per week.

Job Type: Full-time

Salary: $21.00 - $22.00 per hour
